Photo Show Entry Conditions

Important - Please read all the conditions before submitting anything

General

  • No categories - Photos may be of any subject but the organisers reserve the right to refuse any entry which in their absolute discretion they consider to be undesirable in content.

  • New work - Entries submitted to previous West Haddon Photo Shows will not be accepted.

  • Own work - Entries must be the work of the entrant, who must own all rights to the image. Entries must not use clip art, stock photographic images or images entirely generated by AI.

  • Young People - Entries from persons under the age of 16 will only be accepted with signed consent from one of the entrant’s parents or legal guardian on the Entry Form.

  • Ownership - The copyright of the images remains with the author at all times but by entering you grant West Haddon Photo Club permission to reproduce any entry (without fee) in the catalogue, on the website, on social media or in the press in connection with the exhibition.

  • Liability - Entrants release West Haddon Photo Club from all liability related to the content or origination of images submitted to Photo Show.

  • Loss & Damage - The organisers are not responsible for any loss or damage to entries howsoever caused.

  • Acceptance - The organisers have the final decision regarding application of these conditions and submission of an entry is deemed to be acceptance of these conditions.

Submission of Entries

Entries opening day: 6th September. Last day for receipt of entries: 9pm 26th September.

Digital Entries

  • Image size -The image files must be in JPEG format and a minimum of 2400 pixels on the longest side.

  • Naming - Filenames of images must include the title of the image and the name of the photographer.

  • Submission - Digital entries must be submitted, together with a completed Entry Form (on page 4), as attachments on an email to photoshow@whphoto.club.

Print Entries

  • Image size - Prints must be no larger than A3 (42cm x 29.7cm) and securely mounted on card, foam board or similar, not larger than 50cm x 40cm. We cannot accept unmounted, framed or canvas prints.

  • Labelling - Each print must be marked on the back with the title of the photograph, name of photographer and the price if the print is for sale (see Sale of Prints section for more information).

  • Protecting prints - Prints must be submitted contained within protective packaging – they will not be accepted if unprotected.

  • Submission - All prints must be accompanied by a correctly completed Entry Form (on page 4) and submitted to a member of WHPC who will be in All Saints’ Church, West Haddon, NN6 7AL on the following dates:

Sale of Prints

  • For sale - Prints offered for sale must be clearly marked on the back that the print is available for sale and the price. Entry forms must be marked to show those prints which may be purchased together with the purchase price.

  • Catalogue - The Photo Show catalogue will indicate which prints are for sale and their price.

  • Donation - When a print is sold a minimum of 10% of the purchase price must be donated to West Haddon Photo Club.

  • Sold prints - A red dot will be affixed when prints are sold. Prints must not be removed before the end of Photo Show. The print on display will be the one given to the buyer.

  • Queries and disputes - In the event of any query or dispute arising from the sale of a print West Haddon Photo Club will supply the contact details of the photographer and will accept no further involvement or responsibility.

Collection of Print Entries

Print submissions may be collected from All Saints’ Church on Saturday 19th October (TBC) between 10am and 4pm (TBC). We will dispose of uncollected prints.
